In brief
- Incoming mail and the web form exist so we can answer and plan a session.
- We keep no mailing list and we do not license your takes to anyone.
- Audio stays 12 months; tax records stay seven years.
- Rights requests go to [email protected] or the studio contact page.
1. Controller and studio identity
The organisation behind cijativojaconsulting.click is Cijativojaconsulting B.V., a private limited company (B.V.) at Overtoom 141, 1054 HG Amsterdam, the Netherlands. Chamber of Commerce: 99300652. VAT: NL851172726B01. Director: Maarten van Dijk. Capital: €100. That company decides why and how personal data is used for the public site and for ordinary client work: quotes, diaries, sessions, delivery and invoices.
Four operational reasons sit behind the processing: a written answer within 2 working days; delivery of Vocal recording, Mixing, Mastering, Podcast recording and Voice-over & dubbing; bookkeeping at 21 % VAT; and basic protection of the rooms and the site. The GDPR applies, together with the Dutch Implementation Act (Uitvoeringswet AVG).
No data-protection officer is appointed — the activity and headcount do not trigger that duty. Reach us at [email protected] or 020 737 0842. Hours: Monday–Friday 10:00–19:00, Saturday 11:00–17:00 (by appointment only). Closed on Sunday..
2. Who this text covers
Readers of the site, callers, and anyone who books time in Amsterdam fall under these paragraphs. Dutch is the binding language; English is provided so non-Dutch speakers can follow the same facts.
A different role applies when a production company sends people to the booth and decides what happens to those takes. Then Cijativojaconsulting is a processor and the processor terms govern the relationship. The production company’s own notice is what those guests should read. Makers can also use the podcast-rights guide.
Money, the 30 % deposit and the 7-day cancellation window live in the terms. Company particulars: legal notice.
3. Categories we actually hold
Web form. Name, mailbox, optional phone, the service you tick, an optional preferred day, and a project note. Empty required fields mean we cannot quote. The form lives on contact.
After a booking. Invoice lines, artist or group name, the slot in the diary, messages, and the reference on a bank transfer. A pin terminal in the room belongs to the bank: primary-account numbers never land in our files.
Takes. A recognisable voice is personal data. We keep it to finish the job you ordered. A camera crew you bring is your file, not ours.
Server noise. TransIP B.V. records IP, time, path and user-agent so the host can defend the machine. Browser storage key cjtv_consent_v1 remembers a cookie decision and nothing that names you.
Special-category data is outside the intake. A health-related postponement needs only the sentence that you cannot come; we do not collect certificates.
4. Why, on what basis, and for how long
| Aim | Typical fields | GDPR basis | How long |
|---|---|---|---|
| Answer a first message and draft a quote | Form plus later mail | Steps before a contract, Art. 6(1)(b) | Three years from the last exchange |
| Run the booking and the session | Identity, diary, project notes | Contract performance, Art. 6(1)(b) | Five years after the last job (Art. 3:307 Dutch Civil Code) |
| Hold working audio | Session and bounce files | Contract performance, Art. 6(1)(b) | 12 months, then deletion |
| Issue invoices and keep the ledger | Billing identity and payments | Legal duty, Art. 6(1)(c) | Seven years (Art. 52 General Tax Act) |
| Defend a complaint | The correspondence file | Legitimate interest, Art. 6(1)(f) | For the dispute and any appeal window |
| Defend the website | Host logs | Legitimate interest, Art. 6(1)(f) | Not beyond a year unless an incident needs longer |
| Remember banner settings | cjtv_consent_v1 | Art. 11.7a Telecommunications Act | 182 days |
There is no data marketplace and no rented list. We do not run campaigns. A purpose that does not sit next to the original one waits for a fresh yes from you.
Legitimate-interest uses get a short internal test: real aim, necessity, and a check that your interests are not heavier. You may ask for that sketch and you may object.
5. Voice, portrait, age and machine learning
A take and a face belong to private life. The studio does not put a clip, a photograph of you, or your name on cijativojaconsulting.click or on a social channel unless you have agreed in writing first.
Client audio is not a dataset for model training, evaluation or fine-tuning. A synthetic copy of a voice needs a dedicated written yes from that person.
Anyone younger than 16 arrives through a guardian, who remains the mailbox we write to. Article 5 of the Uitvoeringswet AVG sets 16 as the digital-consent age in this country. The public form is built for adults and guardians, not as a product aimed at children.
6. Recipients inside and outside the team
Three people work the rooms — Maarten van Dijk, Sophie Jansen and Lars de Boer — and they see files only as their task requires. Outside that circle, and only for the aims in the table:
- TransIP B.V., Schipholweg 103, 2316 XC Leiden, Nederland, for the site, mail and disks, with capacity in the EEA (transip.nl);
- FormSubmit at formsubmit.co, which relays the public form into our inbox;
- the bookkeeper, under professional secrecy, for invoice lines;
- the bank, for transfers and the pin device;
- counsel or a court, if a file turns into a dispute;
- a public body that has a legal right to ask.
Anyone who processes for us does so under Article 28 GDPR wording. The specification lists no mediator.
7. Leaving the European Economic Area
TransIP B.V. keeps hosting and mail in the Netherlands. FormSubmit is a United States product, so a form submission travels there. We have not seen a Data Privacy Framework listing for that vendor. Article 49(1)(b) GDPR is the hook we rely on: you started the pre-contract conversation by sending the project.
Skip the US hop by using [email protected] or 020 737 0842 instead. The same 2-day reply window applies.
8. How we lock things down
HTTPS only on the public site, named accounts, encrypted workstation disks, a locked door at Overtoom 141 after hours, and deletion once the 12-month hold ends. That set matches a three-person studio, not a data centre brochure.
A breach that threatens rights is notified to the Autoriteit Persoonsgegevens inside 72 hours (Art. 33 GDPR). You hear from us as well when the residual risk is high (Art. 34). Packets on the open internet can still fail; our measures start when the file is ours.
9. Rights you can use
The GDPR catalogue applies in full:
- Art. 15 — see what we hold and why;
- Art. 16 — correct what is wrong or incomplete;
- Art. 17 — ask for erasure when the purpose is spent;
- Art. 18 — pause processing in the listed cases;
- Art. 20 — take out the data you supplied, in a ordinary structured format;
- Art. 21 — object where we lean on legitimate interest;
- Art. 7(3) — pull consent back; earlier lawful use stays lawful.
Send the request to [email protected] or on paper to Overtoom 141, 1054 HG Amsterdam. The first clock is one month. A hard case may add two months; we say so if that happens (Art. 12(3)). There is no fee. A reasonable identity check is allowed if the mailbox looks uncertain.
Complaints: Autoriteit Persoonsgegevens, Bezuidenhoutseweg 30, 2594 AV The Hague, autoriteitpersoonsgegevens.nl. A first note to the studio usually closes the loop.
10. Storage in the browser
Article 11.7a of the Telecommunications Act treats cookies and local storage alike. cijativojaconsulting.click does not drop audience, advertising or social cookies. The only entry is cjtv_consent_v1, kept 182 days, holding the five-way choice (necessary, functional, analytics, marketing, display). Optional buckets are empty.
Names, durations and the reopen control sit on the cookie page. whenever you want a different setting.
11. Outbound links
A map link for Overtoom 141 in Oud-West points at OpenStreetMap. That operator writes its own rules. Getting here: The studio is on Overtoom in Oud-West. Trams 1 and 12 serve the Overtoom (Vondelpark) stop; from there it is about a five-minute walk. You can lock your bike at the racks along Overtoom in front of the building.
Prep reading lives in the guides — vocal-session prep and delivery formats among them. Those articles do not add hidden form fields.
12. Versioning
The page is a description of practice, not a waiver of statutory rights. When the rooms, the stack or the law moves, we replace the text here. Effective 1 October 2026; last pass 1 October 2026. A material rewrite is mailed to people with an open or recent job.
